Job Description:

Reporting to the Director of Records and Registration, the Administrative Assistant provides a broad range of organizational and administrative support to the Registrar's Office and Registration Center. The Administrative Assistant must employ strong interpersonal skills, complex decision-making when reviewing data and will use discretion to prioritize and complete tasks within the programmatic scope of the Registrar's Office and Center. S/he helps execute the Director's strategic goals and objectives through appropriate prioritization and execution of tasks.

This position will execute Records and Registration tasks in a manner that results in a highly efficient and productive environment through the use of technology and processes. The Administrative Assistant creates a positive environment and ensures smooth daily office operations. Uses discretion to authorize and prioritize scheduling; establishes and maintains files; handles high-level confidential/sensitive information; makes independent decisions regarding daily operations as needed.

Responsibilities include, but are not limited to:
*Manages the Directors calendar in an accurate and timely manner, including verifying and reminding participants for key meetings, providing meeting agendas and materials.

*Responsible for all aspects of departmental budget.

* Researches and orders all equipment and supplies (e.g., IT equipment, general office supplies).

*Responsible for tracking all sick, vacation and personal time for the entire department.

* Responsible for gathering all material documentation for refund/appeals committee. This position will require the staff member to serve as a member of the committee.

*Produces daily registration reports for the Director.

*Assists the Director in building the academic calendar.

* Manages daily workflow in and out of the Director's office by ensuring projects are completed in a timely manner and by responding to and/or routing inquiries to appropriate Registrar staff.

* Supervises the audit process of all change of grades and transcripts.

Requirements:

Bachelors Degree or completion of four years in an accredited post secondary institution of learning and 5 years appropriate experience, or Associates Degree or completion of two years in an accredited post secondary institution of learning and 7 years appropriate experience, or High School Diploma and 9 years appropriate experience.

*Knowledge of FERPA

*Appropriate work experience in a Registrar setting

*Strong analytical skills

*Technical expertise with Microsoft Windows, Word, PowerPoint, Excel, Access, and Outlook, Document Imaging

*Ability to provide excellent customer service to coworkers, staff, faculty, students, and other clients

*Ability to maintain cooperative working relationships with supervisor, management and others at all times

*Ability to recognize and deal with priorities, recognize and perform duties not directly assigned and assist others as needed

*Ability to learn new things and keep up with the pace of changing technology

*Ability to investigate, problem solve, and take corrective action

*Working knowledge of maintaining a departmental budget

Schedule: Monday through Friday (8am-4pm or 9am-5pm)

Salary: $46,915 (91/0)
