Description

DTI is seeking candidates for the DTI Records and Information Management (RIM) Supervisor.

Job Summary: Supervises the overall operation of the Firm's RIM Inactive Records Center and personnel; reporting to the RIM Manager.

Responsibilities:

  • Oversees all activities involved in the management of inactive records; including time management oversight.
  • Provides guidance and acts as team leader encouraging team interaction to ensure and achieve organizational goals.
  • Responsible for quality assurance and compliance with the Firm's policies and procedures.
  • Assists with the development of procedures and suggestions for improvement to ensure uniform practices.
  • Provides RIM training, evaluation, personal development to records staff.
  • Reviews, monitors, and collects metrics measuring RIM staff productivity and performance.
  • Provides daily guidance and direction to RIM staff relative to operations and looks for ways to improve efficiencies, access, and control.
  • Verifies Legal Hold and Ethical Wall accuracy and compliance.
  • Works in conjunction with the Firm's Ethics and Conflicts Counsel to implement and maintain Legal Holds and Ethical Walls.
  • Performs audit functions to ensure the Firm's standard procedures for file creation and maintenance are followed.
  • Ensures timely compliance with firm standards for appropriate client matter transfer of records and information.
  • Manages access, maintenance activities, privilege levels of the Firm's records management system.
  • Ensures the timely and appropriate application of the Firm's Records Retention Schedule, running reports, and performing approved destructions.
  • Oversees the reconciliation of the monthly off-site records storage invoice; assuring it reflects the current contract agreement and all current acitivity.
  • Lends advice and software support, on an ad hoc basis, to other Firm office staff.
  • Supervises special projects.

Education/Experience: Bachelor's degree preferred, 5 years experience in an active/inactive legal records management environment, knowledge of and working experience with records management software; Microsoft Office, Autonomy or Legal Key application experience a plus.

Qualifications: Ability to interface with all levels of management, co-workers, and other personnel for the purpose of exchanging information and assigning duties; interfaces with internal supervisory personnel and legal staff. Excellent communication skills, both verbal and written. Ability to routinely work with, lift, and move standard file boxes weighing 35 pounds.
