The Fashion Institute of Technology (FIT), part of the State University of New York and an internationally renowned college of art, design, business and technology with a strong emphasis on liberal arts, invites nominations and applications for a Department Coordinator in Communication Design Pathways.


Job Description:

The Department Coordinator provides a broad range of organizational and administrative support to the faculty and students of the department and its programs. The incumbent will assist the Department Chair in managing the day-to-day operations of the department and other related tasks.

Responsibilities & Essential Functions:

  • Organize, prioritize, review, and maintain office records and forms as well as attend, compose, and plan for department and advisory board meeting agendas and minutes.
  • Preparation of action forms for hiring and related personnel activities.
  • Assist in working with and keeping records of curriculum changes and any other relevant information.
  • Use Banner/ Brio to retrieve information for reports used by the department, School, or College.
  • Input faculty load entry and maintenance in Banner.
  • Assist with coordinating the department's tenure and promotion process, scheduling and announcing peer observations and meetings, obtaining student evaluations, preparing the ballots, reappointment and promotion forms, and circulating them for approval and submission.
  • Assist faculty with preparation of forms for change of grade, change of programs, mid-term warnings, and other assistance as may be required.
  • Contact faculty and students when courses are canceled, as well as prepare the related forms for action to be taken within the College.
  • Answer and appropriately handle incoming calls, greet students, and visitors.
  • Process departmental information and materials.
  • Update faculty, student, alumni, and industry listservs every semester.
  • Support students and faculty by providing direction, answering questions, providing technical guidance, coordinating orientations, organizing student equipment, supplies, etc.
  • Assist students in trouble-shooting registration and other matters.
  • Provide support and coordination on program curriculum, studio, equipment and administrative matters to both faculty and staff.
  • Administer program faculty load reports within the College's Banner system; coordinate curriculum materials, reports and processes; and organize the program calendar and course schedules.
  • Maintain inventory of classroom, lab, and studio equipment with strong attention to detail and accuracy.
  • Plan and execute program events.
  • Maintain accurate records of faculty release time and contact hours.
  • Maintain departmental budget information.
  • Coordinate and execute the allocation of department funds.
  • Manage purchases and payments.

Requirements:

Minimum Qualifications:

  • Bachelor's degree and 2-4 years of related experience required.

Preferred Qualifications:

  • 1-2 years of experience working in an academic setting.
  • Working knowledge of Banner, Brio and Finance Enterprise preferred.

Knowledge, Skills, & Abilities:

  • Ability to maintain a high degree of confidentiality and discretion.
  • Strong organizational skills and experience with organizing or contributing to office procedures.
  • Must be a self-starter with the ability to work both independently and in a team environment.
  • Detail oriented and attentive to deadlines.
  • Demonstrated experience working with Google Platform, Microsoft Office Suite (Word, Excel, PowerPoint).
  • Ability to effectively communicate, both verbally and in writing.
  • Ability to compose correspondence and prepare administrative reports.
  • Effective problem evaluation/solving skills.
  • Ability to make informed independent decisions.
  • Ability to identify, evaluate and resolve technical problems and make independent decisions.
  • Experience maintaining and tracking numerous details for a variety of special projects occurring concurrently including follow-up.


Additional Information:

Salary

Salary: $60,685 per year

The dictates the compensation, benefits, and conditions of employment. Hiring Salary: $60,685 per year with step increments per Salary Schedule 92, after one year of service and annually thereafter.

Work Schedule

Days/Hours: M-F, 9am-5pm, in person; work schedule subject to change based on needs of the department.
