Job Description

The Leave of Absence Analyst/Associate Benefits Analyst II role will focus heavily on Henry Schein's leave program, including overseeing all US leaves of absence and accommodation, throughout the organization, in partnership with the third-party administrator. This position will serve as a key contact for Team Schein Members, HR Business Partners, and managers regarding leave and accommodation policies and procedures. Partner closely with the Payroll and Legal teams to ensure leaves are tracked and paid correctly. Ensure plans are administered consistent with company policies and procedures, and are in compliance with federal and state regulations. This position will often work independently and will support/partner closely with the other corporate benefits team members.

Major Responsibility: Leave of Absence Administration

Supporting Actions:

  • Ensure compliance with company policies, legal and regulatory requirements, and applicable leave laws.
  • Assist with the development of communications and trainings to facilitate process improvement with the HRBP's through a better understanding of the regulations and each other's role in the LOA process.
  • Identify gaps and inefficiencies in benefits administration (areas of review to include payroll, benefits, third party leave administrator, HR and legal) and provide recommendations to optimize workload efficiency and accuracy.
  • Overseeing 100+ leaves at one time.

What You Will Be Doing

  • Regularly interacts with third-party vendor to ensure administration of leaves, leave tracking and certification/re-certification requests are done properly and timely in accordance with contract requirements.
  • Analyzes routine and complex leave requests in accordance with company policy and applicable laws and facilitates an effective leave management program.
  • Coordinates with applicable parties (Management, Payroll, HRBP, legal) to effectively administer leave and accommodation processes.
  • Responds to inquiries from management and TSMs regarding leaves of absences in a customer-focused, timely manner.
  • Monitors status of all leaves of absences and takes proactive measures to ensure all necessary updates and communications are provided to employees and leave process is efficient.
  • Regularly evaluates current practices and new laws/statutes to ensure coordination and adherence to existing policies, guidelines and regulations.
  • Coordinates with third-party administrator to ensure that Short Term Disability (STD), Long Term Disability (LTD), Reasonable Accommodations, and Workers Compensation (WC) claims are reviewed and a determination is made and communicated in a reasonable time frame.
  • Stays current on laws relating to leaves.
  • Serves as subject matter expert for leave administration. Provides guidance and education to managers, TSMs, and HRBPs
  • Assist in identifying problems and trends that require corrective action and assists in developing any necessary improvements relating to leave management and leave-end processes. Identify and shares best practices.
  • Facilitate TSMs returning to work including ensuring compliance with policies and legal requirements.
  • Responsible for coordination of accommodations, in accordance with American with Disabilities Act (ADA), including participation in the interactive process; engaging with human resource partners, legal, employees and management to ensure compliance with applicable polices and legal requirements.
  • Oversee assigned workers' compensation case portfolio of minor to complex claims nationwide.
  • Collaborate closely with Risk Management leadership on workers' compensation claims, process, and procedures to ensure integrated program.
  • Serve as resource for injured employees and inform of workers' compensation process and procedures.
  • Work with the business, TPAs, and Defense Counsel to develop mitigation strategies that result in cost savings to the claim, ensure aggressive strategy is developed on litigated claims, and bring claims to timely resolution.
  • Participate in claims review process and monitor claims handling process by carriers and TPAs provide direction to ensure compliance with best practices and special handling instructions.
  • Maintain OSHA 300 log & file accordingly.

Life Insurance Benefits Administration

  • Process life insurance claims including carrier notification on communication with the family.
  • Ensure waiver of premiums processed.

What You Will Need

  • Bachelor's degree in human resources or related field or the equivalent combination of education and training
  • Minimum of 2 years of experience, internship experience included
  • Working knowledge of state and federal leave laws
  • Strong knowledge of ADA and interactive process
  • Ability to accurately read and interpret regulations and statutes
  • Organizational skills including the ability to prioritize work and handle multiple tasks simultaneously and under pressure
  • Demonstrated ability to treat confidential matters with appropriate discretion
  • Proven ability to solve difficult problems and overcome conflict situations with effective solutions
  • Ability to effectively collaborate with human resource partners, management, legal and employees while providing excellent customer service to all internal and external stakeholders
  • Excellent interpersonal, communication and problem-solving skills with excellent attention to detail
  • Strong knowledge of MS programs including Word and Excel, as well as an ability to quickly learn new software programs
  • Excellent written and oral communication skills

The posted range for this position is $46,541- $81,446, which is the expected starting base salary range for an employee who is new to the role to fully proficient in the role. Many factors go into determining employee pay within the posted range including education, prior experience, training, current skills, certifications, location/labor market, internal equity, etc.
