Position Summary:
We have an exciting opportunity to join our team as a Manager, Administrative Support.

In this role, the successful candidate Provides direct supervision of Administrative Support Supervisors (NMASS). Works with internal and external parties to coordinate and provide administrative support for all centralized Nursing Finance functions. Responsible for the development and maintenance of a centralized Nurse Manager administrative support system.

Job Responsibilities:

    • Manages staff with responsibility for all personnel related activities with the authority to hire, train, evaluate, discipline, and terminate. Delegates NMASS assignments efficiently and monitors them through completion, defining expected outcomes and time parameters to employees.
    • Performs other duties as assigned
    • Acts as a super user for all People Soft and Kronos applications.
    • Prepares a variety of original communications, reports, charts, and written documents for leadership.
    • Manages Nursing Administration procurement and requisition processes. Exercises judgement as it relates to fiscal responsibilities. Researches and resolves questions related to requisitioning. Manages complex procurement processes. Coordinate and track fiscal year capital submission and procurement. Collaborates with various departments to obtain vendor quotes as needed.
    • Manages complex time reporting and ensures accuracy of data. Researches and resolves questions related to processing of payroll information.
    • Manages, initiates, monitors, and as needed troubleshoots HR/Payroll transactions in appropriate systems (Kronos, MSS, Hyperion). Responsible for the management of positions, running and analyzing reports and present findings/trends on various position/personnel issues from MSS.
    • Establishes NMASS administrative procedures to be followed. Develop and maintain a centralized Nurse Manager administrative support system. Maintains a portfolio of centralized NMASS projects and exercises judgment to assist in planning, preparation organizing, analyzing, coordination, and delivery of department projects, programs, initiatives.
    • Evaluates staff performance, approaching the performance review process constructively and conducts it in accordance with Human Resources and departmental guidelines and procedures. Offers continuing guidance and assistance to employees on work activities, procedures, and performance-related issues as appropriate. Ensures leadership is kept aware of performance of each employee on an ongoing basis. Addresses any performance related issues promptly.

Minimum Qualifications:
To qualify you must have a A Bachelor's degree in public health, business administration, healthcare administration, communications, or related field.
At least 3-5 years of previous experience in administering office operations and project coordination required, preferably in a healthcare setting. Supervisory experience required.
Team-oriented, with excellent project management, organizational, and time-management skills. Proficient in the use of MS Word, MS Excel, MS PowerPoint software; knowledge of internet applications. Must be creative, innovative, and detail-oriented and be able to apply the same level of effort into all assignments, regardless of scope. Ability to multitask, and to work successfully under pressure in a fast-paced environment; should be able to handle changing priorities quickly. Effective oral, written, communication, and customer service skills. Ability to interpret and implement policies and procedures, and to effectively communicate this information to a diverse population, in a comprehensive manner. Exceptional problem-solving and planning skills in working with colleagues, leaders, and administrators. Ability to exercise excellent judgment, and to assume responsibility for decision, consequences, and results. Self-motivated and results oriented.

Preferred Qualifications:
Master's degree. Experience working in large, complex organizations is a plus. Excellent interpersonal skills.

NYU Langone Health provides a salary range to comply with the New York state Law on Salary Transparency in Job Advertisements. The salary range for the role is $67,771.14 - $101,850.00 Annually. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.
