Posting Summary
Rutgers University- Newark (RU-N), an urban public research university and anchor institution, located in Newark, New Jersey, a city of promise is seeking a Senior Academic Program Coordinator. Responsible for the day-to-day administration of all aspects of the Master in Information Technology and Analytics (MITA) program. The position involves responsibility for interaction with students, faculty, scheduling online courses for other Specialty Masters and MBA students as well as organizing the logistics of all activities and events designed to enhance student interaction and maximize the students' program experience. The position will also manage the entire orientation process for students in the MITA program. The position is instrumental in the development of program budgets, semester schedules, coordinating advanced standing, student registration, assign special permission numbers, acting as a liaison with housing, student health services, financial aid and international student services.

This position is responsible for and not limited to the following:

  • Monitoring student progress towards degree completion.
  • Reporting student GPAs each semester, sending notifications of academic probation, assisting students with applying for graduation and certifying students for graduation.
  • Approval of purchase orders and managing the part-time lecturer payroll matrix are also included in the position.
  • Serving as the initial point of contact for academic advising for the Master of Information Technology and Analytics.
  • Other responsibilities include management of social media presence and advertising/marketing interfaces.
  • Travel among campuses is required.

Consistent with the current application of Rutgers Policy 60.3.22, this position may be eligible for a hybrid work arrangement. The flexible work arrangements outlined in Rutgers Policy 60.3.22 are part of a pilot program that is effective September 1, 2022 through August 31, 2024. Therefore, there is no guarantee that this flexible work arrangement will continue beyond that date. Qualifications

Minimum Education and Experience
  • Requires a bachelor's degree, or an equivalent combination of education and/or experience that demonstrates knowledge and understanding of the program and execution, coordination, organization, facilitation, report analysis, writing skills and promotion/outreach.
  • Requires a minimum of five years of relevant professional administrative experience.

Certifications/Licenses
Required Knowledge, Skills, and Abilities
  • A self-motivated individual with experience in a higher education environment preferred. Knowledge of University policies, procedures and programs a plus.
  • Must be able to effectively collaborate and communicate with students, faculty and senior level administrators; requires initiative, the ability to handle multiple priorities and effective project management skills; ability to write clearly and concisely; strong presentation skills; demonstrated ability to work both independently and as a contributing team member.
  • Must have working knowledge of word processing, spreadsheet and database programs. Proficiency in various computer programs (Office Platform, and RUTADMIN) a plus.
  • Must be detail oriented and flexible (includes working on both the Newark and New Brunswick campuses).
  • Knowledge of various computer programs, Data bases and spreadsheets.
  • Must be comfortable explaining critical policy issues to all levels; prior experience working directly for a corporate SVP or academic department chair preferred.
  • Requires the ability to think strategically and independently, and understand the roles and motivations of senior managers, corporate hiring managers and job-seekers.
  • Requires excellent communications skills, oral and written; and experience articulating values, information, and compelling cases to multiple audiences, one-on-one, and through formal proposals and presentations. Knowledge of university policies, procedures and programs a plus.
Preferred Qualifications
  • Significant prior experience in a corporate or academic administrative function is preferred.
Equipment Utilized
  • Must be familiar with Canvas, SalesForce, Zoom and WebEx.
