We have the following position available:
Administrative Assistant/Office Manager
Patrick is currently seeking an experienced professional to be the Administrative Assistant and Office Manager for Patrick's Boston office. The role will perform all aspects of support to the Management Services Division as well as support to other Patrick groups as appropriate. The overall goal of the position is to support a variety of general office administration tasks including but not limited to:
  • Provide administrative support to the Boston office
  • Work with technical teams to develop project proposals and qualification summaries, promotional materials, and assist with other marketing and business development needs
  • Coordination of meeting logistics including divisional meetings
  • Responsible for coordinating team activities including team building and holiday parties
  • Ordering office supplies and other needed materials
  • Update and review of client information in Patrick's CRM system (Deltek) to ensure reporting accuracy
  • Final document production including letters, transmittals, and reports
  • Reception and phone coverage
  • Tracking professional licenses of staff and needed safety training
  • New hire work space set-up
  • Coordination of travel and reservations
  • Research assistance for special projects
  • Coordination with building management including security
  • Compilation of information for internal newsletters
This valued team member will collaborate with other offices, the marketing team, and corporate leadership.
Education/Skills/Knowledge
  • Minimum 2 years' experience in an office environment performing administrative duties
  • Undergraduate degree in business, journalism, or marketing preferred
  • Experience in an engineering or professional services environment preferred
  • Skilled in Microsoft Excel, Word, PowerPoint, and Outlook
  • Strong written and verbal communications skills with the ability to interact at all levels of the organization
  • Ability to clearly communicate concepts and ideas
  • Self-starter who can work independently or part of a multi-discipline team
  • Ability to synthesize data into concise, relevant and actionable information
  • Experience with Deltek or other Client Relationship Management (CRM) software a plus
