POSITION SUMMARY

This position is an integral part of Mission Support Operations and has broad responsibility for operational support.

RESPONSIBILITIES

  • Work with Finance, Billing and Contracts to ensure all paperwork is completed and invoices are submitted on time
  • Work with Project Control and Billing to ensure all appropriate operational information is provided, including proper coding, receipts copies of travel, time sheets and other information as required by contract or the Company
  • Work with customers to receive payment
  • Analyze contracts and provides input into finance requirements
  • Ensure customers have completed all requirements prior beginning work
  • Analyze contracts and provides input into project set up
  • Liaison with Program Management, Accounting, Contracting, Procurement, Warehouse, Compliance, Legal, Travel, Transportation and Operations in support of programs
  • Work closely with Program Accountants to ensure cost effectiveness of the materials and services required to support the programs
  • Identify and research invoicing issues, including customer rejections and short paid invoices, assist with resolution as appropriate
  • Assist in managing the collection of customer invoices, including contacting customer to resolve delays in invoice and payment processing
  • Interface with Project Control Analysts and Project Managers to coordinate project reporting, including notification of billing in excess of contract values
  • Identify process or procedural improvement opportunities in connection with assigned areas
  • Support Project Control with dispositioning identified unbilled balances
  • Price task orders and contracts as required
  • Collaborate with staff to ensure efficiency and compliance with company policy and customer/contract requirements with regard to staffing and logistics matters
  • Develop accurate and flexible logistic support plans to support program requirements
  • Recommend logistics/training process changes or updates to Program Management as necessary to enhance efficiency
  • Assist in the performance of internal/external audits in accordance with all applicable rules and regulations
  • Assist Program Management with compliance requirements
  • Maintain effective communication and teamwork within internal departments
  • Ensure personnel are properly vetted and meet qualifications prior to training
  • Schedule training as required
  • Approve staff timesheets and manage work schedule(s) of subordinates as required
  • Record training and operations expenses, including travel, hotels, per diem, vehicles and Instructor and range costs
  • Other duties as assigned

QUALIFICATIONS

  • Bachelor's Degree in Accounting or Finance preferred
  • Minimum of three years of experience in personnel coordination and logistics management required
  • Must have experience working with government contracts
  • Must have experience reading and understanding prime level task orders and contracts
  • Experience in pricing highly desired
  • Must have knowledge of processes and procedures in support of domestic and overseas operations
  • Must possess excellent math skills and advanced proficiency with MS Office required
  • Effective oral and written communication skills with all levels of the organization
  • Strong organizational skills with the ability to manage time and multiple priorities to completion
  • Problem solving skills with an analytical thought process
  • Ability to adapt to a rapidly changing environment

WORKING CONDITIONS

Work is typically based in a busy office environment and subject to frequent interruptions. Business work hours are Monday-Friday from 8:00 am to 5:00 pm, however some extended or weekend hours may be required.
