The Executive Assistant will be responsible for proactively providing support to several senior R&D Leaders primarily located in Union Beach, NJ, Wilmington, DE, and Palo Alto, CA.

You are an efficient and detail-oriented individual who can manage multiple top priorities at once, including but not limited to C-suite operations and management, manage travel and events, administrative tasks, organization and operation support assistance.

You will spend your time doing ...

  • Scheduling and calendaring meetings and proactively managing conflicts in schedules.
  • Managing travel schedules and arranging travel plans, developing trip itinerary. Managing travel documents. Coordinating planning for trips.
  • Assisting in the management of projects by taking, distributing and following with meeting notes/actions
  • Assisting with the development of various communications (town hall coordination, newsletters, social media, etc)
  • Preparation of materials in advance of meetings and events.
  • Processing expense reports.
  • Supporting, overseeing and executing ad hoc projects in line with business needs and priorities.
  • Welcoming guests and key stakeholders and answering phone calls and e-mail inquiries.
  • Other duties/projects as required.
Job Requirements

Required skills:

  • 7+ years supporting senior leadership in a global, matrixed, complex environment.
  • BS/BA or relevant work experience.
  • Action oriented, perseveres, and consistently drives for results.
  • Solid interpersonal skills.
  • Communicates effectively (both written and verbal), is comfortable communicating with all levels including C-suite and senior leadership and can demonstrate good judgment and decision making.
  • Ability to work both individually and as part of the broader administrative team within R&D and IFF in delivering project results, coordinating support, and proactively proposing improvements.
  • Professionalism, maturity and courtesy are a must.
  • Ability to work under strict deadlines and consistently deliver.
  • Ability to multi-task while maintaining a strong attention to detail.
  • Maintain a positive "Can-Do" attitude.
  • Proficiency with MS Office Suite. SAP experience preferred.
  • Ability to work across disciplines as needed and interact with people across geographies and cultures.
  • Project management skills
  • English proficiency to fulfill potential communication needs
  • Adapted to a flexible work schedule / work locate (hybrid remote)
