Position Summary:


We have an exciting opportunity to join our team as a Program Coordinator.

In this role, the successful candidate is responsible to provide operational and administrative support to the Department of Pathology. This will include support with lab scientific instrumentation, lab and administrative space. (Smilow Research Building floors 3, 5, 6, and 13 and Medical Science Building 5th floor and Administrative space in the same buildings.)

Will liaise with RED+F,EH&S and with other administrative departments on matters related to building operations, cleaning and recycling, climate control, compliance and laboratory safety. Will assist with the response to emergency needs either on- site or electronically.


The Coordinator will also provide administrative support and calendaring assistance to the Vice Chair for Research.

Job Responsibilities:

    • Work/coordinate with internal and external parties to coordinate the various components needed to initiate, run and conclude facility related activities.
      * Under supervision, strategically plan, initiate, organize all lab and office moves and transfers, including coordination with NYUGSoM space planning staff.
      * Coordination with the departments of RED+F, OSR and Research Emergency Resilience for all activities related to facilities operations and compliance.
      * Make recommendations and coordinate repair, removal, replacement of equipment and permanent building features (floors, cold rooms, dark rooms, etc.) and communicate with building services (carpentry, electrician shop, environmental services) and building managers.
      * Purchase and renew service contracts and preventive maintenance agreements of all equipment and maintain records of contracts, service calls and equipment status.
      * Responsible for compliance to all University local, state and federal regulations as it relates to radiation safety, hazardous chemical waste disposal, environmental services, FDNY, inspections, and other related areas deemed appropriate and working with lab managers to prepare for inspections.
      * Coordinate temporary storage of unused instruments and make recommendations for equipment repair and disposals. Coordinate re-organization of lab space for optimization and devise and implement strategies for best use of shared spaces.
      * Assist PIs in purchase, delivery and installation of capital equipment and oversee laboratory renovations as needed.
      * Provide administrative support to the Vice Chair of Research, including communication, calendaring and other duties as assigned.
      * In association with department administrative team maintain a database of laboratory personnel contact info.
      * Perform administrative departmental responsibilities as assigned.

Minimum Qualifications:
To qualify you must have a Bachelor's degree or equivalent in business administration, health care administration or related field or an equivalent combination of education and relevant experience. Proficiency in using various Microsoft Office applications such as Word, Excel, Access, PowerPoint and Outlook. Familiar with Internet applications. Effective oral, written, communication, interpersonal skills. Ability to interface effectively with all levels of management and must work and communicate effectively with both internal and external customers. Ability to work within a team environment as well as independently. Time management skills and ability to work well under pressure. Ability to Project/Program manage and to multitask while paying attention to details.

Preferred Qualifications:
Project/Program management experience preferred.

NYU Langone Health provides a salary range to comply with the New York state Law on Salary Transparency in Job Advertisements. The salary range for the role is $58,500.00 - $61,000.00 Annually. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.
