The Time Entry Assistant is responsible for providing support to a specific group of timekeepers. This position maintains positive contact with the attorneys and support staff, observes confidentiality of firm and client matters, and handles ad hoc projects. A hybrid work schedule is available for this position. Work hours are 12:00pm - 8:00pm EST.

Location: Rochester, NY

  • Enters data into the firm's time accounting system from handwritten, typed or dictated information. This includes tracking billable and non-billable time entries.
  • Helps monitor the teams email inbox.
  • Researches client-matter numbers and engagement codes when needed.
  • Proofreads entries and interacts with practice assistants, timekeepers and billing coordinators to ensure accuracy.
  • Generates time entry reports for timekeepers when needed.
  • Provides cooperative, responsive and courteous service to timekeepers, clients and other firm personnel.
  • Maintains a log of timekeepers' preferences by client. This ensures other team members are able to provide backup if a team member is not available.
  • Coordinates with billing coordinators to ensure timely billing of all available time entries and assists with edits when needed.
  • Distributes reminders to timekeepers to assist them with following firm policies. This includes daily, weekly and/or monthly reminders.
  • Attends firm-sponsored trainings to maintain required skill level and knowledge of software applications.
  • Provides support to the billing department when needed.
  • Perform other duties as assigned.

  • 0-2 years' experience, preferably within a law firm or professional services environment.
  • High School Diploma required. Some College preferred.
  • Excellent communication skills, both verbal and written.
  • Strong attention to detail and proofreading skills.
  • Advanced keyboarding/typing skills.
  • Proficient knowledge of Microsoft Office Suite.
  • Ability to organize and prioritize multiple tasks to ensure varying deadlines are met.
  • Demonstrated interpersonal and customer service skills that provide positive and professional interactions with personnel at all levels of the firm.
  • Must be able to perform basic mathematical calculations.

In accordance with applicable Federal and State laws, the anticipated annual salary range for this position, depending on location, is as follows: Rochester, NY: $29,664 to $40,943

In addition to a standard benefits package, this role may be eligible for additional contingent compensation based on an array of factors, including but not limited to: work performance, geographic location, work experience, education, and qualifications. Because such contingent compensation is not yet calculable or may be zero ($0) in some circumstances, the above-listed salary range(s) are Nixon Peabody's good faith estimate of the annual salary(ies) it reasonably expects to pay for the position at the time of this posting.
