The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.

Position Summary

Reporting directly to the Senior Manager of Finance and Operations, the incumbent will operate with a high degree of autonomy, collaborating closely with various departments to uphold, streamline, and enhance Standard Business Processes aligned with University and government directives. The role encompasses overseeing the day-to-day management of payment processing, procurement activities, and journal entries within ARC (Accounting and Reporting at Columbia), the university's financial records system.

Responsibilities

  • (50%) Independently coordinate payment and procurement requests, as well as journal entries, ensuring adherence to Accounts Payable, Purchasing Requisitions, Vendor Management, and Purchasing Cards procedures within ARC. Verify the accuracy of vouchers recorded in ARC and navigate departmental approval workflows for Accounts Payable, Procurement Requisitions, Purchasing Cards, and Internal Transfers.
  • (25% Proactively engage with peers to disseminate policy and procedural updates, fostering a culture of continuous improvement and efficiency. Provide expert interpretation of University accounting and purchasing policies to faculty, staff, and students, particularly regarding travel, business expenses, invoices, purchase orders, and contracts.
  • (15%) Resolve discrepancies and conflicts between external vendors, faculty, staff, and students concerning payment statuses, employing strong research and reconciliation skills. Cultivate positive relationships with stakeholders across the Faculty, University Offices, and other departments, institutes, and centers, fostering collaboration and effective communication. Establishes and maintains good working relationships with the Faculty, University Offices, and colleagues in other departments, institutes, and centers.
  • (10%) Generate, analyze, and distribute financial reports as necessary, contributing to account reconciliation efforts, and undertake additional duties as assigned

Minimum Qualifications

  • Bachelor's Degree or equivalent experience, and 1-2 years of relevant experience.

  • Demonstrated capability in processing, analyzing, and interpreting financial data, coupled with outstanding communication skills and a proactive work ethic.

  • Preferred familiarity with accounting principles, Microsoft Office Software, project management, and grant budget management.

  • Detail-oriented with strong analytical and problem-solving abilities, capable of working independently or as part of a team in high-volume environments.

  • Experience in project administration and planning, exhibiting discretion, good judgment, and the ability to maintain confidentiality.

  • Proficiency in accurately reviewing and completing detail-oriented tasks and projects, with a penchant for adaptability and versatility.
