The Fashion Institute of Technology (FIT), part of the State University of New York and an internationally renowned college of art, design, business and technology with a strong emphasis on liberal arts, invites nominations and applications for an Executive Director for Academic and Faculty Affairs.


Job Description:

The Executive Director for Academic and Faculty Affairs, a senior-level administrative position reporting to the Vice President for Academic Affairs, plays a crucial role in providing oversight and management in academic and faculty administration. This role demands utmost confidentiality in handling various academic and faculty affairs matters.

Reporting directly to the Vice President of Academic Affairs, the Executive Director collaborates closely with the Dean's Offices, Human Resources, the President's Office, and other stakeholders. The primary responsibilities include managing confidential information related to full-time and adjunct faculty hiring, reappointments, tenure, sabbaticals and promotion with exceptional tact, discretion, and attention to detail. Key responsibilities also include managing internal faculty programs including faculty recognition events, personnel administrative processes, and handling academic correspondence.

The Executive Director also oversees the Office of Faculty Services, providing leadership and administrative direction. The Office of Faculty Services is an administrative office that provides guidance and support to all full-time and adjunct faculty in the areas of the College Policies and Procedures; Assignment of Program (AOP); Tenure; Promotion; Reappointment; Certificates of Continuous Employment (CCE); Sabbatical Leaves and Release Time for Research applications. This office also manages the administration of the student evaluation of teaching effectiveness process.

Responsibilities & Essential Functions:

  1. Faculty Hiring and Appointments:
    • Serve as the Academic Affairs point person for both full-time and adjunct faculty hiring processes in collaboration with Dean's Offices, Human Resources, and other relevant stakeholders.
    • Manage the confidential handling of information related to faculty reappointments, tenure evaluations, sabbatical leaves, and promotions, ensuring adherence to college policies and procedures.
    • Coordinate with Human Resources to meet appointment deadlines and facilitate the efficient processing of faculty appointments.
  2. Faculty Programs and Administrative Processes:
    • Manage and support internal faculty programs, including but not limited to sabbatical leaves, release time for research, and Certificates of Continuous Employment (CCE), and faculty recognition events.
    • Oversee personnel administrative processes related to faculty tenure, promotion, reappointment, and other faculty career progression activities.
    • Provide guidance and support regarding college policies and procedures as related to Academic Affairs and other relevant administrative aspects.
  3. Academic Correspondence:
    • Handle academic correspondence, ensuring accurate and timely communication with faculty regarding appointment details, program assignments, and other administrative matters.
    • Manage the editorial and finalization process for Academic Affairs correspondence, reports, and campus-wide announcements.
  4. Oversight of the Office of Faculty Services:
    • Provide support and administrative direction to the Office of Faculty Services.
    • Support the office's responsibilities, including providing guidance and support to full-time and adjunct faculty in various areas such as college policies, tenure, promotion, and sabbatical leaves.
    • Support Faculty Services in the student evaluation of the teaching effectiveness process, ensuring its smooth operation and compliance with established protocols.
  5. Collaboration and Special Projects:
    • Collaborate with various campus-wide constituencies, including Dean's Offices, Human Resources, the President's Office, and others, fostering positive working relationships.
    • Engage in special projects and initiatives directed by the Vice President for Academic Affairs, contributing to the strategic goals of the college.
  6. Confidentiality and Attention to Detail:
    • Uphold the highest level of confidentiality in handling sensitive academic and faculty affairs matters.
    • Demonstrate exceptional tact, discretion, and attention to detail in managing confidential information and processes.
  7. Leadership in Academic Affairs:
    • Represent Academic Affairs on campus-wide committees as requested or assigned.
    • Collaborate with the Vice President on internal and external programs and activities in alignment with the college's strategic plan.
    • Provide oversight over time and leave for Academic Affairs units.
    • Represent Academic Affairs on campus-wide committees as requested or assigned.

    • Ensure that hiring, reappointment, tenure, and promotion procedures align with institutional policies and standards.
    • Maintain accurate records and documentation related to hiring, reappointment, tenure, and promotion decisions in accordance with institutional guidelines.
    • Participate in the review and revision of institutional policies and procedures related to faculty hiring, reappointment, tenure, and promotion as needed.

Requirements:

Minimum Qualifications:

  • Master's degree required.
  • 5+ years of subject matter expertise directly related to faculty administration processes listed above in a college environment OR
  • 7+ years of educational administration experience in academic personnel or related fields in a college environment.

Preferred Qualifications:

  • Doctorate degree preferred.
  • Related professional experience in higher education.

Knowledge, Skills, & Abilities

  • Excellent written, analytical, and communication skills.
  • Strong organizational, interpersonal, and research skills.
  • Proficiency in Microsoft Office Suite and Google Workspace, along with knowledge of project management and tracking tools/platforms.
  • Keen attention to macro- and micro-level details.
  • Comprehensive understanding of academic administration processes, including faculty hiring, appointments, tenure, promotion, sabbatical leaves, and faculty career progression activities.
  • Commitment to diversity, equity, and inclusion.
  • Knowledge of/experience with a unionized environment.
  • Experience in developing, implementing, and maintaining processes related to academic administration and faculty affairs.
  • Demonstrated leadership and management effectiveness in overseeing academic and faculty affairs, including providing administrative direction to offices and teams.

  • Strong relationship-building and collaboration skills.

Additional Information:

Please note all offers of employment are contingent upon successful completion of the background check process.

Salary

Salary: $140,000-$150,000 per year, commensurate with experience and qualifications.

Work Schedule

Days/Hours: M-F, 9am-5pm, in person; work schedule subject to change as needed by supervisor.

This is a non-bargaining position.
